PARTICIPANT AGREEMENT & WAIVER

In selecting “I agree” and proceeding with your purchase, you acknowledge that you have read, understood, and agreed to the terms outlined below.  And you understood that this agreement is binding and applies to your full participation in the Dear Black Women Costa Rica Retreat, October 10 - 15, 2026 “Retreat”.

Assumption of Risk

Assumption of Risk: I understand that participation in the Dear Black Women Retreat (“Retreat”) includes travel, group experiences, movement, excursions, and time spent in a natural, outdoor environment.  I acknowledge that these activities carry inherent risks, including but not limited to:  physical injury illness travel-related disruptions environmental exposure (including weather, terrain, insects, and wildlife)  I voluntarily assume full responsibility for any risks, injuries, or damages that may occur.

Health & Wellbeing

I affirm that I am physically, mentally, and emotionally able to participate in this Retreat.  I understand that:  This Retreat is not therapy, medical care, or clinical treatment Any wellness or reflective practices are offered for personal growth, not diagnosis or treatment  I agree to take full responsibility for my own wellbeing during the Retreat. 

Personal Responsibility

I agree to:  move through the experience in a way that honors my own needs and limits; communicate clearly if I need support; make informed decisions about my participation in any activity. I understand that I may opt out of any activity at any time. 

Release of Liability

To the fullest extent permitted by law, I release and hold harmless:  Dear Black Women, Florence Noel, retreat facilitators, staff, partners, venue hosts, and affiliates  from any and all liability, claims, demands, or causes of action arising out of or related to my participation in the Retreat. This includes, but is not limited to: personal injury, property damage, financial loss, travel disruptions. 

Travel Responsibility

I understand that I am responsible for:  booking my own flights and travel arrangements; obtaining any required travel documents; securing travel insurance (strongly recommended). Dear Black Women is not responsible for delays, cancellations, or disruptions related to travel. 

Payment & Cancellation Policy

All payments are non-refundable unless otherwise stated. If I am unable to attend:  I may transfer my spot to another participant, subject to approval by Dear Black Women. No refunds will be issued for cancellations or no-shows.  If the Retreat must be canceled or rescheduled by the host:  I will be offered a transfer or credit option.

Payment Plans

If I choose a payment plan:

  • I understand that I am committing to the full Retreat cost, not individual installments

  • All payments made, including partial or installment payments, are non-refundable

  • I am responsible for completing all scheduled payments, regardless of my attendance

  • Failure to complete payments may result in forfeiture of my spot without refund

Shared Spaces & Community Care

I understand that this is a shared community experience. I agree to:  move with respect for others, the space, and the land; engage in ways that support a safe, supportive, and affirming environment.

Media Release

I grant permission for photos, videos, or recordings taken during the Retreat to be used by Dear Black Women for storytelling and promotional purposes.  If I prefer not to be included, I will communicate this in advance.
